This Privacy Policy describes how Callboard LLC (“Callboard,” “we,” “us,” or “our”) collects, uses, and shares information when you use the Callboard service at callboard.fm and any related applications or features (the “Service”).
By using the Service, you agree to the collection and use of information in accordance with this Policy.

Callboard LLC is a New Jersey limited liability company. We act as the data controller for personal information processed in connection with the Service.

Information We Collect
2.1 Information You Provide
- Account information (via Clerk, our authentication provider): name, email address, company name, role, and any profile information you choose to provide
- Payment information (via Stripe, our payment processor): billing name, billing address, and tax identifiers. We do not store your full payment card numbers; Stripe handles card data directly.
- User Content: queries, search terms, artist names, market parameters, and other inputs you submit when generating Promoter Briefs
- Communications: support requests, feedback, and other messages you send us
2.2 Information Collected Automatically
- Usage data: the briefs you generate, features you use, pages you visit, actions you take within the Service, and timestamps of those actions
- Device and technical data: IP address, browser type and version, operating system, device identifiers, and referring URLs
- Cookies and similar technologies: see Section 7 (Cookies)
2.3 Information from Third Parties
We may receive information from third-party data providers (such as Chartmetric) that we use to generate Promoter Briefs. This data is generally about artists, venues, and markets, not about you personally.
How We Use Your Information
We use your information to:
- Provide, operate, and maintain the Service
- Authenticate you and manage your account (via Clerk)
- Process payments and manage subscriptions (via Stripe)
- Generate Promoter Briefs based on your queries
- Improve the Service, develop new features, and analyze usage patterns
- Communicate with you about your account, billing, product updates, and support
- Send transactional emails and, if you opt in, occasional product communications
- Detect, prevent, and address fraud, security issues, and violations of our Terms
- Comply with legal obligations and enforce our agreements
Legal Bases for Processing (UK and EU Users)
If you are located in the United Kingdom or European Economic Area, we rely on the following legal bases under UK GDPR and GDPR:
- Contract: processing necessary to provide the Service you requested, including account management and billing
- Legitimate interests: improving the Service, ensuring security, preventing fraud, and conducting business analytics, where these interests are not overridden by your rights
- Consent: for optional communications such as marketing emails and non-essential cookies, where consent is required
- Legal obligation: processing required to comply with applicable laws, such as tax and accounting requirements

We do not sell your personal information. We share information only as described below.

5.3 Business Transfers
If we are involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of the transaction. We will notify you of any such change in ownership or control.
5.4 With Your Consent
We may share information for other purposes with your consent.
International Data Transfers
Callboard is based in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States and other countries where our service providers operate.
For transfers from the United Kingdom, European Economic Area, or Switzerland, we rely on appropriate safeguards such as Standard Contractual Clauses or other approved transfer mechanisms with our service providers.
Cookies and Similar Technologies
We use cookies and similar technologies to:
- Keep you signed in (essential, via Clerk)
- Remember your preferences
- Understand how the Service is used
- Detect and prevent fraud
You can control cookies through your browser settings. Disabling essential cookies may prevent you from using parts of the Service. If you are located in the UK or EU, we will request your consent for non-essential cookies where required.
Data Retention
We retain personal information for as long as needed to provide the Service and for legitimate business purposes:
- Account data: retained while your account is active and for a reasonable period after termination
- Brief history: retained according to your subscription plan; Free tier retains only the most recent brief, while paid tiers retain full history during the active subscription
- Billing records: retained for at least 7 years to comply with US tax and accounting requirements
- Communications: retained as needed to provide support and address legal claims
- Aggregated or anonymized data: may be retained indefinitely
When information is no longer needed, we delete or anonymize it.
Your Rights
Depending on your jurisdiction, you may have the following rights:
- Access: request a copy of personal information we hold about you
- Correction: request correction of inaccurate information
- Deletion: request deletion of your information, subject to legal obligations to retain it
- Portability: request a copy of your information in a portable format
- Objection and restriction: object to or request restriction of certain processing
- Withdrawal of consent: withdraw consent where we rely on it
- Complaint: lodge a complaint with a supervisory authority (such as the UK Information Commissioner’s Office or your local EU data protection authority)
California Residents
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the “sale” of personal information. We do not sell personal information.

To exercise any of these rights, contact us at privacy@callboard.fm. We will respond within the timeframes required by applicable law. We may need to verify your identity before fulfilling your request.
Security
We implement reasonable technical and organizational measures to protect your information, including:
- Encryption in transit (TLS) and at rest where appropriate
- Access controls limiting employee access to personal information
- Secure infrastructure provided by Railway and our other providers
- Regular review of our security practices
No system is completely secure. We cannot guarantee absolute security, but we work to protect your information and will notify affected users of material security incidents as required by law.
Children
The Service is not directed to individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us at privacy@callboard.fm and we will take appropriate action.
Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will notify you by email or in-product notification before the changes take effect. The “Last Updated” date at the top of this Policy reflects the most recent version. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
